Microsoft Teams carries a different register than Slack. In most organizations it's the platform for client-facing chats, cross-department coordination, and leadership communication โ which means the stakes for tone are higher.
Below are practical Teams message examples for the situations that come up most often, with three tone variants for each.

Requesting an update from a colleague
Where are we on this?
Quick check on the vendor proposal โ do we have a status update? The client is asking and I want to give them an accurate picture.
I'm following up on the vendor proposal. The client has reached out for an update, and I'd like to give them an accurate timeline. Could you share the current status when you have a moment?
Hi! Just checking in on the vendor proposal โ the client was asking and I wanted to make sure I have the latest. No pressure, just wanted to loop you in!
Escalating an issue to management
We have a big problem with the client.
Flagging an issue with the Henderson account โ they've disputed the Q1 invoice and are threatening to pause the contract. I have a call with them at 2pm. Wanted you to be aware before that happens.
I wanted to bring an urgent matter to your attention. The Henderson account has disputed the Q1 invoice and indicated they may pause the contract pending resolution. I have a scheduled call with them at 2pm today. I'd appreciate your guidance before that conversation.
Hi โ wanted to give you a heads-up on something with the Henderson account. They've pushed back on the Q1 invoice and hinted they might pause things. I have a call with them at 2pm โ any chance you have 5 minutes before that to chat?
Requesting a meeting
We need to talk. Are you free?
Are you free for 20 minutes this week to go over the roadmap priorities? Trying to get alignment before the board session.
I'd like to schedule a brief meeting this week โ 20 minutes โ to align on roadmap priorities ahead of the board session. Please let me know what time works for you.
Hey! Would you be up for a quick 20-minute chat this week? I'd love to get your input on the roadmap before the board session โ I think your perspective would really help.
Delivering difficult feedback
The presentation was not up to standard.
A few things in the presentation need to be addressed before we share externally โ particularly the financial projections section. Can we find 15 minutes today?
Thank you for pulling the presentation together on a tight timeline. I have some feedback I'd like to share before it goes out โ there are a few areas, particularly around the financial projections, that I think we should revisit. Would you be available to connect briefly today?
Hey โ thanks for getting that together so quickly! I have a few thoughts on the presentation I'd love to share โ just a couple of things I think we can sharpen before it goes out. Are you free for 15 minutes today?
Teams-specific tips
- Use @mentions intentionally. Tagging someone means they get a notification. Only do it when you genuinely need their attention.
- Subject lines matter in channel posts. When posting to a general channel, a clear subject in bold at the top helps people decide if they need to read further.
- Channels vs. chat. General questions go in channels; sensitive or personal topics go in direct chat.
- Acknowledge read receipts. People can see when you've read their message. If you've read something and can't respond yet, a quick "noted โ will get back to you by EOD" prevents awkward silence.
